The Ministry of Higher Education and Scientific Research has unveiled a new scholarship platform as part of its unified digital gateway, “Edu Hub.” This innovative platform serves as a central entry point for a range of services provided by the ministry, including registration and admission services for higher education institutions, scholarship services, inquiries about academic institutions and programmes abroad, as well as the submission and tracking of exemption requests.
Revolutionising Service Delivery with AI
The new scholarship platform, bolstered by artificial intelligence technologies, represents a comprehensive transformation in the way services are delivered to users through the ministry’s website. It simplifies processes, enabling faster and more efficient interactions, supporting the ministry’s vision for digital transformation, reducing bureaucracy, and investing in AI solutions to enhance service efficiency while streamlining the user experience.
Integration and User Experience Improvements
Rashed Karam Al-Kaabi, Director of International Education Support and Scholarships at the Ministry, emphasised that the new scholarship platform relies on digital integration and real-time connections with several official entities, including the Federal Authority for Identity and Citizenship and the Ministry of Education. This integration has significantly reduced the number of documents required from users to just two. Notably, students from the government curriculum no longer need to submit their high school grades, as this information is pulled automatically through the system.
Al-Kaabi revealed that the steps to submit an application have been reduced from five to three, with the number of required fields decreasing from 22 to just four. This streamlining has cut the time required to apply down to a minimum of five minutes, highlighting the qualitative difference the new platform has made in user experience. The shift also simplifies administrative procedures and saves time for scholarship students, allowing them to focus on preparing for their academic journeys with confidence, without the distraction of routine paperwork.
AI-Powered Features and Enhancements
The platform employs artificial intelligence to read and verify documents and automates procedures that previously required users to engage in person, such as signing scholarship contracts, which are now completed entirely online. Additionally, students can now receive their documents after being awarded a scholarship without the need for traditional communication or visiting ministry offices.
Users will benefit from instant notifications and continuous updates regarding their application status, in addition to a direct messaging feature for communication with relevant departments. This approach facilitates application tracking, reduces redundancy, and assists staff in managing their responsibilities, thereby minimising manual errors via electronic integration with official agencies.
Tackling Previous Challenges
The new platform addresses several significant challenges that users faced previously, such as difficulties in tracking applications via email or the need to visit the ministry in case of technical issues and lengthy document signing processes. Today, all service stages are entirely digital, which enhances the speed and reliability of procedures.
Future Evaluations and Continuous Improvement
Looking ahead, the ministry plans to assess the effectiveness of the new platform, examining user satisfaction, the time taken to complete services, the number of digital transactions, and the overall experience of users. This evaluation aims to continually improve the platform, striving for optimal outcomes for all stakeholders.
