In a bid to enhance best practices in document management and standardise preservation procedures, the Department of Archives has launched a specialised training programme titled “Responsibilities and Duties of the Document Office.” This initiative, carried out in collaboration with the Human Resources Department, targeted 50 employees from 40 government entities in Sharjah, aiming to increase awareness and understanding of the essential roles and responsibilities of document offices within government frameworks.
The training programme outlined the objectives and functions of the Document Office, as well as detailed mechanisms for applying current document management systems and preserving intermediate documents. Participants were introduced to efficient document organisation methods and easy access protocols based on established frameworks. Additionally, the course included information on the procedure for borrowing and reviewing intermediate files, guidelines for transferring documents to the archives, and specific requirements for document storage facilities, especially regarding sensitive materials.
A key component of the programme was the distribution of the booklet “Responsibilities and Duties of the Document Office” to all attendees. This practical reference is designed to support participants in effectively performing their roles.
The Document Office continues to play a pioneering role in empowering and developing the skills of document office personnel across the Emirate of Sharjah. By implementing targeted training and guidance programmes, the office aims to elevate adherence to approved document management procedures, reinforce standardized professional practices throughout the document lifecycle, and enhance the readiness of government bodies to safeguard and ensure the sustainability of their documentation.
